Position: Logistics Coordinator

Location: Le Bac, Wellington / Paarl, South Africa

Once off / Repeat / Ongoing project: Once-off with the possibility of future repeat.

Hours / Day: 12 hours / 7 days a week (with arranged breaks/ resting time)

Missions:

  • Represent administration, finance, logistic, and assets staff on site during ALICT, executing various tasks, roles related to these aspects.
  • Participate in and contribute to weekly staff meetings on e.g. empowerment, process, program, participant care, etc.
  • Standing in for fellow colleagues when they are engaged with other activities. 
  • Serve as part of other teams and take on tasks or roles agreed to with relevant responsible team coordinator.
  • Set standards for weekly leaders, give clarity on work required, check planning and implementation.

Roles and Responsibilities:

  • Assist with logistic needs:
    • Preparing equipment and materials for activities / ALICT Adventures and Experiences
    • Driving (shopping, doctor, hospital, field trip, ALICT Adventures and Experiences, airport pick up, drop off, etc.)
    • Maintenance and day to day communication with venues
    • Assist with ceremonies, projects, events and meetings.
    • Security  (i.e. locking and unlocking venues, etc) at the venues (compliance by ALICT participants and staff)
  • Manage assets and inventory
    • Managing ALICT office and stationary onsite at Le Bac,
    • Monitor and coordinate Kombis which include refuel, maintenance and driving inspections
    • Internal check-up and audit of assets.
    • Store and organize lecturer gifts.
    • Pack-up and inventorying.
    • Reporting on any damage or concerns.
  • Manage onsite finance:
      • Money exchange (once a month)
      • Petty cash  (source documents, capturing information, safe keeping)
      • Run tuck shop and souvenir sales (managing stock / cash flow)

     

    Ensure weekly leaders have clarity for their planning, set standards for weekly leaders, give clarity on work, check planning and implementation.

    Assess weekly leaders for their project planned, executed during ALICT.

Skills, experience, and competencies requirements:

  • Willing to be a servant leader and work hard.
  • Have international driver licences and able to learn and adapt to drive, following the South African driving rules. Preferably but not essential to have experience driving minibus (eg. kombi) or even bigger.
  • Detail oriented and organized.
  • Strong time-management skills.
  • Able to mobilise and motivate the team. 
  • Good communication skills.
  • Good command of the English language is required for effective communication with all stakeholders involved in logistics, including participants, alumni, vendors, etc. 
  • Strong ability of reporting.
  • Able to do physical work; i.e. carrying heavy/big boxes, etc. 
  • Creativity for the use and decoration of spaces.
  • Knowledge in office computing (Excel-Word-Google suites).
  • Technical and IT skills will be advantageous.
  • Reflect and evaluate (existing evaluation tools), co-discover and implement improvements, report (verbal and written).
  • Commitment to seek to follow Jesus, be an example of discipleship servant leadership, and give your best in extra mile service. Also, to the ITL Mission, Vision and Values.
  • Current season of emotional, spiritual, and physical health and vitality with base to deal with diversity and disagreement / conflict.
  • Be vulnerable, take responsibility and achieve goals, speak the truth in love and ask for help.
  • Expect the unexpected, be open to keep on discovering (grow, learn) and to serve outside the picture established before as an ALICT participant (i.e looking from “the outside” as ALICT volunteer  staff ).

  •  Transport, accommodation and food is the responsibility of ITL ALICT.
  • A valid international driver’s license is required 
  • A valid passport with 3 unused pages and expiry date at least 6 months after your return, please apply for a new passport ASAP if needed.
